Evaluating AI Hardware Vendors: A Procurement Checklist for IT Buyers
Choosing the right AI hardware vendor is a multi-year commitment, not a single transaction. This procurement checklist helps IT buyers evaluate GPU server vendors on authorization, support depth, technical capability, and commercial reliability before signing a purchase order.
Not all AI hardware vendors are equivalent, even when they are quoting the same NVIDIA GPU model. The difference between a strong vendor relationship and a weak one shows up in the hard moments — a component failure at 2am, a firmware bug blocking training runs, or a delivery that slips by six weeks without warning. A structured vendor evaluation process protects you from finding out after the purchase order which kind of vendor you hired.
Authorization and Channel Credentials
- Verify NVIDIA Partner Network (NPN) authorization status at the official NPN portal
- Confirm OEM authorization for Dell, HPE, Lenovo, or Supermicro as applicable to the product quoted
- Ask for distribution chain documentation showing the path from NVIDIA to the vendor
- Check whether the vendor is authorized to sell NVIDIA AI Enterprise software licenses alongside hardware
Technical Capability Assessment
A vendor's technical capability determines whether they can configure your system correctly and support it when something goes wrong. Evaluate whether they have certified engineers on staff (not just sales engineers), whether they can perform pre-delivery integration and burn-in testing, and whether they have experience with the specific workload type you are deploying — LLM training, inference at scale, and simulation workloads each have distinct hardware optimization requirements.
- Ask for reference customers in your industry with similar workload types
- Request evidence of NVIDIA certification or formal training for their technical staff
- Confirm whether they provide on-site integration support or only remote guidance
- Evaluate their familiarity with your preferred software stack (CUDA, ROCm, containers, Kubernetes)
Commercial and Support Reliability
Commercial reliability means the vendor delivers what they quote, when they quote it, and supports you throughout the system's lifecycle. Request three to five customer references and ask specifically about delivery accuracy, support responsiveness, and how the vendor handled problems. Check their company financials or market presence if they are not a well-known OEM — a vendor that cannot survive to fulfill a six-month order is a significant risk.
The cheapest quote is often the one that costs the most by year two. Evaluate vendors on total relationship value, not unit price.
